Booking Systems

Bookings that arrive qualified, not just dated.

A generic booking widget lets anyone grab a slot. A booking system built around your business asks the right questions first — so what lands in your diary is a job you can actually do.

Quoted individually · up to four weeks to build

Booking systems are custom software, so they're scoped against what yours actually has to do and priced in writing before work starts. Smaller booking flows built into a website sit within the normal website tiers.

The system at work

One booking, start to finish.

This isn’t a concept drawing — it’s the booking system running on this site, doing what we sell. Every step below is how it actually behaves.

  1. 01 · A visitor picks a slot

    MON17
    TUE18
    WED19
    10:00
    10:30
    11:00

Days and times the business actually offers — weekends, bank holidays and short-notice slots never shown.

  2. 02 · The slot is claimed — atomically

    SET booking:slot:2026-09-25T10:00 NX → OK

One atomic write is the whole double-booking guarantee — two people submitting the same slot in the same second can’t both win.

  3. 03 · Both sides get the invite

Intro call booked — Alex, Friday 25 September at 10:00 (UK time)

Your 15-minute intro call is booked…

    intro-call.ics

Confirmation emails to both sides, each with a real calendar invite attached — and a one-click cancellation link that frees the slot instantly.

  4. 04 · The morning-of reminder

Reminder: your call today at 10:00 (UK time)

Just a nudge — can’t make it after all? Cancel in one click.

Sent automatically every morning there’s a call in the diary — the cheapest no-show killer there is.

  5. 05 · The data deletes itself

TTL → 30 days after the call → deleted

Personal details expire automatically once they’ve done their job — a privacy policy the database enforces by itself.

It’s live on this site right now — book a real slot and watch it work.

What’s actually included.

01Built around how you take work
Not a calendar bolted onto a page. The flow asks what your team would ask — job type, access, timing, photographs where they help — so a booking arrives ready to act on.
02Qualification before commitment
The system filters before it books: coverage area, job size, the details that decide whether a slot makes sense. Your diary stops collecting appointments you have to unpick by phone.
03Confirmations that actually send
Email confirmation to the customer and structured notification to you, on dependable delivery infrastructure — not a plugin that silently stops working.
04More than one way in
Some customers will never fill in a form. Video walkthroughs, WhatsApp handoff and a phone number that stays visible all feed the same diary — as built for TransScot's video-survey bookings.
05Payments and deposits, where they fit
Deposit or full payment at booking can be built in through Stripe when the business case is there — and left out when it would just add friction.

The honest caveat: not every business needs one. If you take three bookings a week, a form and a phone call are fine, and building software for it would be spending your money on our enthusiasm. A booking system earns its cost when volume, no-shows or unqualified enquiries are genuinely eating time — and if they aren't, we'll say so.

Asked before, answered straight.

The rest of the common questions are answered here.

Do I need a new website to have one?
No. A booking system can be built alongside an existing site and linked from it, the way TransScot's quote and survey system runs on its own subdomain next to their main site.
Can it take deposits?
Yes — Stripe can be built in for deposits or full payment at the point of booking. Whether it should be is a business decision we'll talk through honestly: for some trades a deposit filters timewasters, for others it costs more bookings than it saves.
Is the booking system on this site one of yours?
Yes — the book-a-call page runs on a system built in-house: slot availability, double-booking protection, confirmation emails and calendar invites, all self-hosted. Try it; it's the cheapest demo we can give you.
What does one cost?
It depends entirely on what it has to do, which is why systems are quoted individually rather than priced off a list. You'll get a scope and a fixed number in writing before anything is built, and an honest steer if a simpler setup would serve you better.
